How to Register for the Website
Registration Information
Who are our Auctions open to?
Our auctions are open to local Ontario residents only. To register, you must use a credit card associated with a valid Ontario address. Registrations will not be accepted without a qualifying Ontario-based credit card.
The Software Says "Not Approved on Site"
When you place a bid and get the error message "Not approved on site". It means that your account is in pending status.
This can occur due to several reasons such as not residing locally, having information that was flagged in various risk assessments, or for other reasons. If your account has not been approved within 2 business days of being in this status please contact us and we will provide more information.
If your account is suspended, you will not be able to log in to the website.
What is the Minimum Age to Register?
All users must be 18 years of age or older to register.
Bidding Information
I Placed a Bid By Accident
.Allowing bids to be removed would create confusion and instability for everyone involved. Imagine visiting the auction page and seeing a lower price than just moments ago — or watching the highest bid suddenly disappear. It would be unclear who the real top bidder is, and trust in the auction process would be lost. To keep things fair, transparent, and consistent for all participants, bids are final and cannot be removed once placed.
The best course of action if you accidently placed a bid: Lower your max bid to the same amount of the current bid to make it more likely that another bidder will outbid you.
Why does the time on a lot keep extending? (Soft Close)
Our online auctions feature a soft close mechanism designed to prevent last-second sniping and to mirror the dynamics of a live auction. Instead of ending precisely at the scheduled time, the auction clock automatically extends by two minutes whenever a bid is placed within the final two minutes. For example, if an auction is set to close at 8:15 PM and someone bids at 8:14 PM, the new closing time becomes 8:16 PM. Each subsequent bid in the last two minutes adds another two-minute window, and this continues until no new bids arrive during a final two-minute interval—at which point the auction ends. This process ensures that all interested bidders have a fair chance to respond, resulting in a final price that accurately reflects true market competition, just as in a live auction when the auctioneer calls “Going once… going twice… sold!”
Why am I Automatically Outbid When I Place a Bid?
Max bid is available to all bidders. This feature allows bidders to enter the highest bid they are willing to go on an item and the system will bid on their behalf. For example, Lot 25 is currently at $50. You enter a bid of $200. The system will bid $55 for you. The lot will stay at $55 until someone else bids $60. At that time, the system will bid $65 for you. This will continue until either no one else bids and you win, or your $200 is reached. Max bid is also the reason you may be outbid as soon as you enter a bid. If someone has a max bid entered, the system will bid for them every time you bid, until their max is reached.

Refresh the Website Every Once and a While
No streaming technology is 100% perfect, so it is always a good practice to refresh your screen once in a while during the closing minutes.
When does the Majority of the Bidding Occour?
Often bidding happens in the closing minutes so if you can, try to be on and watch the auction close. In the event you do not wish to watch the auction close, you should place a max bid and the computer will bid for you.
What happens if there is a tie bid?
In the event of a tie bid (2 bidders enter the same amount, it is always awarded to the first person who entered it.) So, you enter a bid of $100 and the current high bid is now $100 but it says you are outbid, that means someone else entered a $100 bid before you and the system recognizes them as the high bidder since they entered the bid first.

How do I know which Items I Won?
The link to view invoices for auctions you have won can be found at bottom menu of the website or by clicking here. Invoices will be available before 10am the following morning.
Pickup Information
Do you ship?
403 Auction does not offer shipping under any circumstances—regardless of the size, weight, or type of item. All purchases must be picked up and paid for in person. Exceptions cannot be made to this policy. If you are unable to your items (or have someone pickup on your behalf), you should not bid. This includes if buyers that state they will provide a shipping label.
Can I send someone to pickup for me?
You are welcome to send someone to pick up your items on your behalf. Please note: they must pay for your items at the time of pickup using Visa, Mastercard, debit, or cash. By doing so, you are authorizing them to complete the pickup on your behalf; however, if they fail to do so, you remain fully responsible in accordance with the terms and conditions of the auction.
Can I make multiple trips when picking items up?
Multiple trips are not permitted unless prior arrangements have been made with 403 Auction. Please ensure you bring sufficient help and transportation to collect all your items in a single visit.
How do I pay for my won items?
Payment is made at the time of pickup using Visa, Mastercard, debit, or cash. Credit cards must be physically present, and a PIN must be entered—we do not accept credit card payments over the phone, online, or entered manually. We also do not accept e-transfers, certified cheques, money orders, gift cards, or American Express.
What happens if I do not pick-up?
If you don’t pick up your items during the scheduled removal period, there is a 25% restocking fee (or $20, whichever is more, plus tax) fee that will be charged to your credit card. Your items won’t be held, and your account will be suspended.
If you'd like to have your account reinstated, and we agree to it, there’s a $50 admin fee (plus tax) to reactivate it. Please note: reinstatement isn’t guaranteed and is up to our discretion.
Please bring assistance for loading.
403Auction staff is not permitted to assist with loading. Items will be brought to the shipping door and customers are responsible for removal from that point. Please bring any help that you will need.
Hiring A Company To Pick Up For You?
Please note that we are not affiliated with any companies that advertise they will pick up on your behalf and ship/deliver to you. If you make arrangements with any of these companies, the terms of our auction still apply. You would have to book an appointment and the company you have hired to pick up for you would have to pick up during that booked appointment. If they do not pick up during that time, you would be responsible for the restocking fee. There will not be any exceptions made for them to pick up outside the posted pick up dates and times. Our return policy also remains 24hrs from the time the item is picked up from our location, not from the time you receive it from the 3rd party. You are also responsible for all arrangements with these companies, 403Auction will not make any arrangements with them on our end.
Bidders still must have a valid credit card registered to an Ontario address.
Payment must still be made in person, we cannot change credit cards over the phone or online and we do not accept e-transfer.
Appointment Information
Can I pick-up without making an appointment?
Appointments are required to pickup items from our auctions.† If you arrive without an appointment, you will be asked to schedule one and return at your designated time. We are not able to accommodate pickups without a confirmed appointment. Please ensure you book ahead to avoid delays.

Can I pick-up for a Friend with my Appointment?
Certainly! You are welcome to pickup for someone else with your appointment as long as it is for the same auction (a second appointment is not necessary). Please keep in mind that all items must be paid for at the time of pickup so you would have to pay for your friend at the time of pickup.
What Happens if I Need a Specific Time?
Appointments are first come first booked and certain times book quickly so if you want 2PM on Wednesday and it's booked when you try to schedule, you will have to pick another time. You should have several times you are available to pick up in case the time you want is booked. We will not "squeeze" anyone in a booked time because they can only come at that time. If you are only available to pick up at one particular time, you should either not bid or have someone available that can pick up on your behalf.
Fees
Standard Fees
Registration Fees: There are no fees to register for an account.
Buyers Premium: There is a 15% buyers’ premium, charged on all items. For example: if an item sells for $100 the items price would be $115. This is a standard auction industry fee that is charged by almost every auction.
HST: Harmonized Sales Tax is applied to all items unless explicitly stated otherwise in the item description. This tax is calculated on both the bid price and the buyer’s premium. If an item is identified as tax-exempt in the description, HST will still apply to the buyer’s premium associated with that item. If an item qualifies for a partial or full tax exemption, it is the responsibility of the bidder to retain their invoice and claim the exemption through their personal income tax filings. PLI does not process or apply tax exemptions at the time of sale. Example: If the winning bid is $100 and the buyer’s premium is 15%, the total before tax is $115. HST (13%) is then applied to $115, resulting in an additional $14.95 in tax. The total amount payable would be $129.95.
Penalties
Restocking Fee: If you fail to pick up your items during the posted removal period, a 25% restocking fee of the full invoice price (or $20, whichever is greater) will be due. We may charge this fee to your credit card or request payment via e-transfer. Your items will not be held, and your account will be suspended.
Disposal Fees - Abandoned Won Items: If you fail to pick up your won items within the posted removal period, and such items include pallets, large equipment, bulk materials, furniture, items over 2 cubic feet in size, items over 50lbs in weight, or any items that may result in a financial loss, storage issue, or additional handling burden, you will be responsible for any associated disposal or removal fees. There is a minimum disposal charge of $100 per pallet left behind. Additional fees may apply based on the size, weight, or nature of the items.
Disposal Fees - Partial Lot Abandonment: If you pick up only part of your won items and leave behind any portion of your lot—whether by refusal, oversight, or disinterest—We reserve the right to dispose of the remaining items at your expense. A disposal fee will be charged, with a minimum of $20 if the item is smaller than a pallet, and $100 per pallet or equivalent volume. We will determine the total cost at its sole discretion based on the size, weight, and nature of the abandoned materials. We will not store or retain any uncollected items beyond the removal deadline, and related fees may be charged to your account or referred to collections.
Reinstatement Fee: If you and PLI mutually agree to reinstate a suspended account, a $50 administrative fee (before tax) will be required prior to reinstatement. Reinstatement is not automatic and remains subject to PLI’s discretion. Any reinstatement does not limit PLI’s right to suspend the account again in the future for any reason permitted under these Terms and Conditions.
Authorizations and Holds
On creation of an account or during registration (the first time you bid on each auction), a $10 hold will be placed on your credit card. The hold may remain for the duration of the auction until the items are picked up. The software will notify you of the hold amount and will verify that you authorize the hold.
Holds will be returned after the auction when your account is cleared with a $0 balance and will take 5-7 business days to be returned to your card. The holds will not "post" on your credit card.
Return Policy
Preview
Preview is available for most auctions. It is highly recommended to preview items before bidding. The preview information can be found in the preview tab of any auction.
What is the Return Policy?
AS IS Sale:
- All items are sold AS IS, regardless of how they are described or what is shown in photos.
Returns at Our Discretion:
- 403Auction may, at its discretion, consider returning an item if there is an error in the listing.
- To be considered for a return, customers must email online@403auction.com and return items within 24 hours of originally picking up the item.
Return Policy Pertaining to Electronics:
- It is your responsibility to thoroughly test all electronics before leaving the pickup location.
- Once electronics leave the pickup location, no returns will be accepted under any circumstances.
Warranty Information:
- There is no warranty, either written or expressed, directly or indirectly, associated with any item sold at auction.
- We are not an authorized dealer for any company, and as such, no warranties are honored through manufacturers.
- Due to the absence of a warranty, no returns will be accepted based on a lack of warranty.
Return Timeframe and Process:
- 403Auction WILL NOT accept returns after 24 hours of pick up, and there will be NO EXCEPTION to this policy. This includes all items regardless of their size, weight, or packaging. This policy applies uniformly to all items, including those that may require additional configuration or assembly, are listed as new or factory sealed, or were bought as a gift. This includes: phones, furniture, laptops, equipment, tools, and all other products we sell.
- If the return request is approved, the item must be returned to the stated location by appointment only (if the return occurred after the time of pickup).
- Refunds will be processed back to the method of payment used for the purchase if the item is returned during active pick-up hours.
- If returned outside posted pick-up hours, there will be no cashier available, and the refund will be issued as AUCTION CREDIT ONLY.
Inspection and Responsibility:
- Customers who do not want auction credit MUST inspect their items before leaving the parking lot.
- Customers unable to return within the stated time frame or living too far away to make another trip must thoroughly inspect items before leaving the building during pick-up to avoid additional trips.
- In the event of an offsite location or a return outside posted pick-up hours, 403Auction may determine whether the item must be returned to our 80 Westcreek Boulevard location (This will be decided by 403 Auction when approving the return).
Refund Approval and Costs:
- Buyers are responsible for covering the costs and/or expenses associated with returning the approved item(s) to 403 Auction.
Preview Recommendation:
- PREVIEW IS RECOMMENDED BEFORE BIDDING to ensure the satisfaction of all customers with their purchases.
These terms apply to all customers and all items, regardless of when you pick up, what you pick up, or where you live.
Film Auctions
COA, Character or Scene References
No COA's will be provided for any items. IF the sale is a film sale, studio authorized auction and items come direct to 403 from the studio. All items in this sale are items from the production company . 403 Auction, nor the studio make any guarantees or representations that any item was screen used. Due to the very nature of film productions and the filming process, some items may have back ups or duplicates and we have no way of knowing 100 percent the history of an item. Anywhere an item is described as a characters or from a particular sale, we are providing the best available information provided to us based on markings or indicators on the items. However again we make no guarantees that any item regardless of where it was meant to be used or who was intended to use or wear it, was actually used by that character. By registering, bidders agree to do their own due diligence and ultimately determine to their own satisfaction the likeliness an item was screen used.
